Supervision Agreement Terms
My Supervision Practice
I see supervision as part of the core team that supports your work - a space to think clearly about your client work, stay grounded in your practice, and build something that feels sustainable over time, financially, emotionally, and in day-to-day life. It's a place where you can think openly, bring uncertainty as well as confidence, and explore ideas and creativity for the benefit of both your clients and your own wellbeing.
Supervision may include:
Reflecting on client work and therapeutic relationships.
Exploring ethical dilemmas, safeguarding concerns, and risk.
Thinking about boundaries and fitness to practise.
Supporting professional growth, confidence, and self-awareness.
Reflecting on the emotional impact of the work.
Thinking about the wider context of your practice, including workload, caseload, and sustainability.
Developing clearer clinical thinking and greater confidence in your judgement.
My approach to supervision is relational, collaborative, and reflective. I aim to offer a balance of support, challenge, learning, and ethical reflection. You set the agenda for our sessions, and I hope that over time you'll feel able to bring the whole of your work - including the parts that feel messy, stuck, or uncomfortable.
I am an accredited member of the British Association for Counselling and Psychotherapy (membership number 00857957) and am fully insured through Holistic Insurance.
Our Responsibilities
My responsibilities as supervisor
I will provide a safe, respectful, and supportive space where you can reflect openly on your work.
I will support reflective practice, professional development, and ethical thinking, and encourage your own clinical judgement and decision-making.
I will offer clear, grounded thinking to help you make sense of client dynamics and areas where the work feels stuck or unclear.
I will raise concerns directly and respectfully where needed.
I will invite your feedback regularly on how supervision and our relationship are working for you, and I hope you will feel able to tell me if something isn't.
I will work within the BACP Ethical Framework and respect the ethical framework of your own professional body.
If I need to cancel a session, I will offer an alternative as soon as possible.
Your responsibilities as supervisee
You remain responsible for your clinical work, professional decision-making, insurance, and professional registration.
You agree to work within the ethical framework of your professional body and maintain appropriate professional indemnity insurance throughout our work together.
I ask that you come to sessions with some sense of what you'd like to bring, and that you bring your work openly and honestly, including safeguarding concerns, complaints, ethical dilemmas, ruptures, or areas where you feel stuck or uncertain.
Please let me know about new clients, significant changes, and endings, so I can keep accurate records and we can keep an eye on your caseload together.
I'd also value your honest feedback on our sessions and our working relationship.
Please take responsibility for making sure you receive the right amount of supervision for your client work, in line with your professional body's requirements, and let me know if you are considering starting another supervisory relationship.
Confidentiality and Data Protection
Confidentiality
I treat supervision as a confidential professional space. Please anonymise client material wherever possible when bringing work to supervision. There are limits to confidentiality. If serious safeguarding, ethical, or fitness-to-practise concerns arise, or if I am required to share information by law or court order, I may need to take further action. This could include contacting your professional body, employer, or place of practice. Wherever possible I will discuss this with you first and support you to take action yourself.
My own supervision
I receive regular supervision for my supervision work, as the BACP requires. Aspects of our sessions may be discussed there to support and develop my practice. I will only use your first name and will not share identifying details about you or your clients. By accepting this agreement, you consent to this.
Recording
Please don't record our sessions by any means without my written permission. I won't record sessions without asking you in advance. You're free to say no, and to change your mind at any time.
Record keeping
I keep brief supervision notes using a reMarkable device and secure GDPR-compliant systems, including Zanda. I store records securely in accordance with UK GDPR and the Data Protection Act 2018, and keep them for 7 years after the end of supervision. For more information about how I manage your data in accordance with GDPR, please view my Privacy Policy.
Boundaries Outside Our Sessions
The therapy world is small. If we happen to meet elsewhere, I won't acknowledge our supervisory relationship unless you do first - I'll take your lead.
You're welcome to follow my professional social media accounts. I don't accept friend or connection requests from supervisees on personal accounts, as this can blur our working relationship. I also won't acknowledge our supervisory relationship if we cross paths online.
Practicalities
Contact between sessions
For non-urgent matters, practical arrangements, or requests for additional sessions, please email me on jo@jolofthousetherapy.co.uk. I usually reply within 24-48 hours on working days.
If an urgent safeguarding or risk issue arises in your client work, you can call me on 07852 228 455. I'll aim to respond between 9am-7pm, Monday-Friday. These calls usually take around 10 minutes. If we need longer, we'll book an additional session at the usual fee. Outside these hours, or if immediate action is needed, please contact the appropriate services, e.g. the client's GP, emergency services, or police.
Sessions
Sessions usually take place online via Zoom or in person at my Godalming practice, unless we agree otherwise. We will both work from a private and confidential space.
If you're running late, please email me to let me know. I'll wait for 15 minutes, but I'm unlikely to be able to extend the session beyond its planned end time.
I usually take 6-7 weeks of leave annually, and will give a month's notice of any planned breaks. Please let me know about any planned breaks of your own as early as you can.
Fees and cancellations
My current fees are shown on the booking page. I review my fees annually and will give existing supervisees at least one month's notice of any change.
Payment is taken through Calendly when you book your session. You will receive a receipt after booking and an email with a rebooking link after our appointment ends.
If an employer or organisation will fund your supervision, please get in touch before booking so we can arrange invoicing.
Please give at least 48 hours' notice if you need to cancel or rearrange a session, by emailing me on jo@jolofthousetherapy.co.uk. If you cancel with less notice, or miss a session, the full fee is payable and will not be refunded. If I need to cancel, I will give as much notice as possible, offer an alternative appointment promptly, and refund your payment if we can't find one.
Clinical will
If I become unexpectedly unable to continue working due to illness, incapacity, or death, my professional executor will contact you with relevant information and referral options where appropriate. I ask that you also have a clinical will in place. If you would like me to act as your professional executor, please let me know and we can discuss it.
Reviews, Endings, and Complaints
We will review our work together regularly to make sure supervision continues to feel useful, supportive, and right for your needs. Either of us can end the arrangement with one month's notice where possible. If you're thinking of ending, I hope you'll feel able to talk it through with me so we can plan a good ending together.
If you have concerns about my practice, I encourage you to raise them with me directly in the first instance. You also have the right to contact the BACP: https://www.bacp.co.uk/about-us/protecting-the-public/professional-conduct/how-to-complain-about-a-bacp-member/
Agreement
By booking a session, you confirm that you have read and understood this agreement.
